Quote automation with AI: faster preparation without losing control

We implement quote generators and quoting automation in companies that prepare repeatable quotes from a price list, catalogue or documentation. We start by measuring how long one quote takes today. We finish with a tool and a person accountable for the correctness of the result.

Starting point

Someone collects parameters, picks items from the documentation and copies data into a spreadsheet. Every quote needs a manual check, and the client waits for a reply.

What we do

We agree the scope of the first version, the source of prices and the calculation rules. We build a generator or an automation, test it on real enquiries and hand it over with a manual.

What we measure

Time to prepare a quote, the number of quotes needing correction and elements that used to be missing – before and after the change, on comparable quotes.

In short
Quote automation with AI takes over collecting parameters, choosing items and preparing the document for the client. Prices and commercial terms follow fixed rules and the current price list, and a person checks the result. In one of our deployments the average quote time fell from 90 to 15 minutes.

75 minutes less per quote, that is 25 hours in the month measured and roughly 83% less time on the task. A supporting drawing appeared in all 20 new quotes.

Measurement basis: Time recorded for 20 consecutive quotes in the month before the change and 20 quotes of similar structure in a full month after it. The measurement covers preparation, checking and corrections before sending.

Which parts of quoting are worth automating?

Most time usually goes on repeatable steps: collecting parameters from the enquiry, choosing items from the catalogue, compiling the list and preparing the document for the client. That is a good scope for the first version.

Prices, calculations and commercial terms should follow fixed rules and current sources. Unusual enquiries can stay with the existing process. The guide AI in quoting covers this in more detail.

What does the implementation look like?

  1. Baseline measurement. We record the time of consecutive quotes, including checks and corrections, and the number of corrections after sending.
  2. Scope of the first version. We agree which quotes the tool covers, where it takes prices from and who checks the result.
  3. Prototype and test. We build the tool and test it on real enquiries of similar complexity.
  4. Launch and handover. The team gets a manual, an accountable person and rules for updating the price list.
  5. Second measurement and decision. We compare the result with the baseline and recommend: develop, improve or stop.

Who is responsible for the correctness of a quote?

Always a person. In the deployment described, the correctness of the lists was checked by someone who knew the manufacturer’s documentation, and the drawing in the quote was material for the client, not an approved design.

We measure quality, not only speed. Quotes needing correction after sending fell there from six to one in 20.

A quote generator or an AI agent for sales?

A generator prepares the document according to fixed rules. An AI agent can choose its next actions itself, so it needs a separate assessment: what it may do without a person and when it must ask for a decision.

For repeatable quotes a simpler generator is often enough. When to choose which is covered in the guide AI agent or automation?

Frequently asked questions

Can AI price quotes on its own?

Prices and calculations should follow fixed rules and the current price list, not the model’s guesses. AI helps collect the parameters from an enquiry, choose the items and prepare the document. A person who knows the offer checks the result.

Do we need a CRM or ERP integration?

Not always. The first version can work on the price list, catalogue and documentation the company already has. Large integrations and migrations are quoted separately, before we start.

What happens when the price list changes?

Before launch we agree the source of prices, how data is updated and who is responsible. That way the tool does not keep old information alive.

How much does quote automation cost?

The work is done within a monthly subscription with an agreed pool of team hours. We set the amount after the first call. Tools and licences are paid by the company.
